Info: Regarding Xerox Printers & Their Auto-Replenishment

In the process of reviewing our service contract with Xerox, it has come to our attention that they are requiring all users to make sure that the correct toner is inserted into its correct, corresponding printer when that toner needs to be replaced.
Please review the following information to learn more about what that means and how the Xerox auto-replenishment system works.
- Toners for Xerox printers on contract are automatically shipped by and from Xerox to location when their system has recognized that the toner level has fallen under “21 days remaining”.
- When the toner arrives, it will come in a carton with a packing slip attached that tells you what exact printer that toner is for.
- For Xerox’s system to keep an updated and correct inventory of your location’s toners, they have suggested to not insert toner that is meant for one machine into another.
- By ensuring that your location’s inventory of Xerox toner is correct in Xerox’s system, Xerox will accurately be able to assess when to ship toner to maintain the auto-replenishment process.
- The image below shows a label on a Xerox toner that describes what exact printer the toner is meant to be used on. You can also find this same information on the packaging slip.
The following are notes regarding auto-replenishment:
- The majority of the Xerox printers are on-contract, but not all. For example, the C235 printers are NOT on contract because Xerox do not allow them to be.
- Additionally, you can find guidelines below, provided by Xerox, on how the auto-replenishment system works and how to use it effectively.
- Other printer consumables/supplies such as waste cartridges/containers are NOT part of the auto-replenishment program. Instead, they must be ordered manually by IT. When you recognize that your printer needs a new waste cartridge/container or other printer part, please submit an IT request through https://jushico.zendesk.com/hc/en-us.
- Xerox does NOT allow IT to order backups for toner or other printer parts. What this means is that if the system recognizes that your location already has 1 of a specific toner on-hand, they will automatically reject any order sent manually to them by IT of that specific toner.
